Why your email sounds robotic

What gives an AI email away

I can tell if someone’s email is written by an AI as soon as I read the first line.

It usually starts with the incredibly boring opening “I hope this email finds you well” and the rest of the email is excessively formal for the request that is being asked for.

It is always unnecessary, because you’re just asking for help with something that would be best served with a casual, human tone.

The email goes on to lay out its request in three bullet points for something that could have easily been expressed in one sentence.

And the email ends with a summary that pretty much repeats everything that’s in the email already, with absolutely zero personality to it.

It’s just soulless, empty writing that nobody wrote.

Why swapping words doesn't help

As I was playing around with synonyms and permutations, I came to a realization that it didn’t matter what words I was replacing.

The beginning is always some sort of an introduction.

The first point is always very close to the first point in the content I give it, and it’s the most relevant point of all.

The second point is always a little more off the topic, but still relevant.

The third point is always a bit of a stretch.

And the end is always a summary of the email, as if the person reading the email has the attention span of a goldfish, and can’t remember what he or she has read.

The point is, it’s not the words that make the email sound like AI, it’s the structure. You can have the best synonyms in the world, but it wouldn’t matter, because people notice the cookie-cutter structure before they notice a word.
